The short version
We collect what we need to track your deadlines and run your account. We do not sell it, we do not share it with brokers, insurers or load boards, and we do not use your operational data to build products for anyone else.
What we hold
- Account information — names, email addresses and phone numbers of the people who sign in.
- Carrier information — your USDOT number and what the public federal record says about your business.
- Driver and vehicle records — including documents you upload, such as medical certificates and licences. This is sensitive personal information about your employees, and we treat it that way.
- Operational records — loads, trips and the documents attached to them.
- Usage logs — enough to keep the service running and secure.
Where it comes from
From you, and from public federal and California government records that anyone can look up. We re-check the public record periodically so we can tell you when something changes on it.
Who else sees it
Only the service providers we need to operate: hosting and database, file storage, and the services that send our email and text messages. They process data on our instructions and for no other purpose. We disclose data otherwise only if the law requires it — and if that happens and we are permitted to tell you, we will.
If you generate a proof link and send it to a broker or an underwriter, you are sharing it — that is the point of the feature — and it is your decision who receives it.
Your drivers
Drivers do not have accounts here. Where we send a driver a link to supply a document, that link is single-purpose and expires. Some records — such as a return-to-duty follow-up testing schedule — are restricted by federal rule from being shown to the driver, and our system enforces that.
Keeping and deleting
Compliance records have legally required retention periods — a driver qualification file, for instance, must be kept for as long as the driver is employed and three years after. We keep records for at least as long as the rule that produced them requires. You can export everything at any time, and on request we will delete what we are not required to retain.
California rights
If you are a California resident you have rights to know what we hold about you, to correct it, to delete it, and not to be discriminated against for exercising them. We do not sell or share personal information as those terms are defined under California law. Write to us to exercise any of this.
